Norra equipment operations guide: A Three-Way Match for Nursing Home Equipment Rental Invoices. Cream lettering on a dark green background.

An equipment invoice can look correct while describing a rental nobody in the building can explain. The equipment can also be present while the invoice uses an unfamiliar identifier. A useful review must connect the commercial record with the physical item without assuming that either record is complete.

A three-way match gives the reviewer three independent questions: What did we authorize? What does the vendor say it supplied and billed? What equipment did the facility receive, retain, transfer, or return? The proposed process below is an internal operating practice. The vendor agreement determines the commercial obligations; the matching worksheet does not rewrite them.

Give each record a specific job

The rental order establishes the requested equipment description, ordering building, authorization, expected start, and applicable commercial reference. It may be a purchase order, vendor confirmation, or another approved ordering record. Do not force a purchase-order number into a workflow that does not use one. Preserve the actual evidence of authorization.

The invoice establishes the vendor's claim for a defined period. Capture its invoice number, line number, equipment identifier, quantity, dates, rate basis, and separately described charges. Keep the original line text alongside any normalized equipment category so a reviewer can trace the interpretation.

The facility equipment record establishes the operating history. It should connect the facility identifier to the vendor identifier, delivery acknowledgment, current or last confirmed location, and return evidence where applicable. Room-level asset visibility can help locate an item; it cannot independently establish cleaning, actual use, safe condition, or when billing should cease.

Walk through an ordinary mismatch

Consider a hypothetical building that ordered a specialty bed. The delivery slip identifies unit V-17, while the invoice lists V-71. Staff find V-17 in the building. It would be premature to label the invoice a duplicate or reject the charge outright. The identifiers may have been transposed, or the vendor may have exchanged equipment without the facility updating its record.

The reviewer opens an identity exception and asks the vendor to connect the billed identifier to the delivery record. The equipment lead checks for an exchange acknowledgment. Finance retains the original invoice line and records the unresolved question. If the vendor confirms a clerical error, the corrected reference joins the packet. If an exchange occurred, both units receive a dated history. One clear question produces a more useful response than a general claim that the bill is wrong.

Keep the exception queue smaller than the invoice

Use a short set of outcomes: matched, identity unresolved, dates unresolved, quantity unresolved, or commercial review required. Add an owner, next action, and next review date to every unresolved line. A reviewer should not need to reread the entire invoice to discover why a row remains open.

Before closing the review, check that:

  • Every billed unit maps to a physical equipment identity or a documented investigation.
  • Every difference has a specific question and supporting document reference.
  • Exchanges and cross-building moves preserve the original vendor identity.
  • Requested corrections remain separate from corrections the vendor has accepted.
  • Finance can distinguish approved lines from lines awaiting its decision.

This checklist supports a decision; it does not direct withholding, payment, accounting treatment, or a contractual remedy. Those choices remain with the authorized finance and commercial owners.

Handle the exceptions the worksheet cannot settle

Some vendors bill a package rather than individual components. Some agreements use a monthly minimum or an equipment class instead of a serial-level line. The match must accommodate the agreement's unit of billing. Do not manufacture a serial-level daily rate merely to make the worksheet balance.

A missing item may be at another building, undergoing service, or already collected. A stationary item may still be needed. Keep location uncertainty and necessity review separate from billing interpretation. Our broader rental invoice audit guide provides additional review context; use the actual agreement for stop-date and charge decisions.

Norra is an AI equipment manager for nursing homes. Its proprietary smart tags support equipment visibility and help operators identify owned stock, rentals, and opportunities for cross-building sharing. That visibility can supply a stronger starting point for this match. People still verify availability and clinical suitability separately, assemble billing evidence, and resolve invoice differences with the vendor. A reliable match ends with a traceable decision on each exception, rather than an invoice marked checked with no record of what that meant.

Frequently asked questions

What are the three records in this match?+

Use the vendor invoice, the authorized rental order or agreement, and the facility equipment record with delivery and return evidence. Each answers a different question.

Does a missing equipment location prove an invoice is wrong?+

No. Investigate identity, transfers, returns, and record gaps before making a billing claim. Keep an unresolved line visible until supporting evidence arrives.
